Describe the material

State species or identified product, grade or appearance requirement, drying condition, size, profile and intended application. Keep exact machining requirements pending unless approved. A request that says only hardwood boards leaves suppliers to fill in important differences.

Describe the quantity and service

Include the quantity unit, length distribution or required cut lengths, milling, packaging and delivery requirements. Ask what is excluded. A quoted bundle may contain a mix of lengths; a cut-to-length schedule can involve different services and yield assumptions.

Describe the commercial limits

Record quote date, validity, payment terms, freight basis, tax treatment and any conditions. Current availability and delivery timing must come from the actual supplier confirmation. The RFQ builder prepares a request; it does not promise that a product or schedule can be supplied.

A PURCHASING CALCULATION

A purchasing calculation

Offer A includes milling and specified lengths; Offer B prices an unprocessed random-length pack. The buyer asks for a scope revision or records the additional services separately. Comparing the two material totals alone would hide the work still required.
